Resource Calendar Delegation and Settings

It is recommended that two people or a department account be given Full Access to a resource calendar. Full Access allows the user or department account to open the resource calendar without a password and grant access rights. If you need Full Access to a resource calendar, submit a Support Center request.

Open a resource calendar

  1. Log in to the My Cal Poly Portal > My Apps Email & Calendar > from the left side of the page, click the Calendar icon.

  2. Click on your profile photo and select Open another mailbox…

  3. Enter the name of the resource calendar by typing the first few characters of the name and searching the directory. Once opened, you will see the resource calendar's Inbox.

Recommended settings

  • Grant one or two people Delegate access to the resource calendar. A delegate receives an email notification when the resource is scheduled. A delegate can manage the resource calendar from the email invitation or from the entry directly on the resource calendar.

  • The Editor role can be granted to people that need to make changes to the calendar, including accepting or declining entries. An Editor will not receive an email invitation when the resource calendar is scheduled.

  • To change or view calendar permissions, go to the resource calendar and click on the Share button on the toolbar.

Within the resource account, click the Gear icon> Options > Calendar > Resource SchedulingBelow are the default settings that can be modified. Options include limiting who can invite the resource to meetings.
