Securely Using Zoom

There are some security risks when conducting online classes and meetings. Unfortunately, zoom-bombing, the name given to gate-crashing Zoom meetings, has become more prevalent with a rise in trolling and the sharing of graphic content by uninvited guests looking to disrupt meetings. Zoom has the Waiting Room feature turned on by default for Education accounts.

  • If you experience a zoom-bombing incident, report the incident directly to Cal Poly’s Information Security team at security@calpoly.edu. A forensics analysis will be conducted and shared with Zoom.

 

  1. Make sure you're using the latest version of the Zoom app.
    Upgrading to the latest version will also ensure the best Zoom video and audio experience. 

  2. Avoid hosting large meetings or public events using your Personal Meeting ID (PMI).
    - When scheduling a meeting, under Meeting ID, select Generate Automatically.

  3. Require a passcode to join your meeting when you schedule it.
    - When scheduling a meeting, under Security, check Passcode.

  4. Only allow authenticated Cal Poly (calpoly.edu) users to join your meeting.
    -  When scheduling a meeting, under Advanced Options, make sure Only authenticated users can join > Cal Poly Only is selected.

  5. Lock your meeting. You can lock a Zoom meeting once it is started and all your expected participants have joined. This prevents any new participants from joining).
    - In the meeting, click Security at the bottom of the Zoom window, then click Lock Meeting.

  6. Manage screen sharing by adding or removing participant access.
    - To change sharing settings in a meeting, at the bottom of the Zoom window next to Share Screen, click the arrow. Select Advanced Sharing Options Who can share? > select All Participants or Only Host.
    - Zoom Education account default screen sharing settings are set to “Only Host” at the account level.

  7. Remove disruptive participants from your meeting.
    - In the meeting, click Security at the bottom of the Zoom window, then click Suspend Participant Activities, to temporarily pause your meeting and remove a disruptive participant. 
    - In the meeting, click Participants at the bottom of the Zoom window. In the Participants window, find the participant, next to their name click More, then click Remove.
