A Cal Poly email address and calendar are automatically created for all students, faculty, and staff when their relationship with Cal Poly begins, as part of a Microsoft 365 account. This service is also available to emeritus and guests of the university. Outlook, the Microsoft 365 email and calendar app, can be accessed through a web browser, desktop app or mobile app.
Students new to the university in the fall quarter get access to email and Microsoft 365 in mid to late July.
Faculty & staff with state-issued/maintained computers can use Software Center (on Windows) or Self Service (on Mac) to install Microsoft 365 software.
Campus computer security policy prohibits use of a personal Microsoft account on state-owned/ITS managed devices.
Emeritus and CSU bargaining units 5, 6 and 11 have access to the web-based Microsoft 365 applications only.
Quickstart
Log in to the My Cal Poly Portal.
Under the My Apps menu, click Email & Calendar.

Email Recipient Quota | In Microsoft 365, the recipient limit is 500 per message. That includes the To, Cc, and Bcc fields combined. The daily limit is 10,000 recipients in a 24 hour period. Email accounts are also restricted to 30 messages per minute (which applies to mail merge software, etc.). Create a Sympa list for large mailings since sending to a Sympa distribution list only counts as one (1) recipient and one (1) message. |
