To maintain read-only access to your Cal Poly email account, you must set up an Email Delivery Address (EDA). This forwards your Cal Poly email to an off-campus

Faculty

and Staff Accounts

Faculty

and staff accounts are created for those officially associated with the university via Human ResourcesFaculty lose access to their accounts

accounts expire when they have not taught a class

in four (4) terms. Staff lose access to their accounts when their status becomes inactive in Cal Poly Human Resources systems.Affiliate AccountsAffiliate accounts are used for individuals who are not officially associated with the university and are submitted by a sponsor. These accounts are paid for by the sponsoring Cal Poly organization and must be requested through a Technical Service Request. See Request an Affiliate Account for details. 

Affiliate accounts must be renewed annually by the affiliate's sponsor. Visit the Renew an Affiliate Account page for more information. Allow five (5) working days for processing. 

Organizational - Club, Department, Unit, or Service Account

Organizational accounts are created upon request. See Request an Organizational Account or Request a Club Account for details. Organizational accounts do not expire. The Administrative or Technical contact can request a password reset by calling the ITS Service Desk at 805-756-7000.

Account extension

In special cases, an account extension may be necessary. For example, current students in the process of completing their senior project or thesis can request an account extension, as well as, students who just graduated if they are working for a Cal Poly department. An extension won't be granted if the user is not a student, is requesting an extension for work, or doing summer research. Affiliate accounts are valid for 1 year or earlier at the request of the sponsor. Affiliate accounts require annual renewal if necessary.

Emeritus

Does not expire.

Staff

17 days after leaving employment

  • Office 365 account, which includes Cal Poly email access, expires

90 days after leaving employment

  • My Cal Poly Portal access expires

No action required. If you have eligibility concerns, contact Human Resources.

University Guests/Affiliates

Guest accounts expire after 1 year.

No action required. A department sponsor may submit an Account Extension Request to renew guest status.

Departments, Units, or Services

Shared accounts do not expire. 

Passwords expire annually and can be reset using the Cal Poly Password Manager. The account owner (administrative or technical contact) can also request a password reset by calling the ITS Service Desk at 805-756-7000.

* Student Microsoft 365 accounts also expire if a student stops attending classes for 3 quarters and has not yet graduated.
