Account types and eligibility 


Activation
Termination
Applicant & Student AccountsApplicant & Student Accounts are requested through the admissions process. See Applicant First Time Account Activation for details. Students new to the university in the fall quarter get access to email and Office 365 in mid to late July.
  • Students lose access to their Office 365 account six (6) months after graduation or after not attending classes for three (3) quarters.
  • Students lose access to the portal eight (8) quarters after graduation and are required to use multi-factor authentication to access the portal.
  • While students still have access to the portal, they can maintain access to their email by setting up an Email Delivery Address (EDA), which will send their Cal Poly email to an off-campus email account.
Faculty and Staff AccountsFaculty and staff accounts are created for those officially associated with the university via Academic Personnel or Human Resources

Faculty lose access to their accounts when they have not taught a class in four (4) terms. Staff lose access to their accounts when their status becomes inactive in Cal Poly Human Resources systems.

Affiliate AccountsAffiliate accounts are used for individuals who are not officially associated with the university and are submitted by a sponsor. These accounts are paid for by the sponsoring Cal Poly organization and must be requested through a Technical Service Request. See Request an Affiliate Account for details. 

Affiliate accounts must be renewed annually by the affiliate's sponsor. Visit the Renew an Affiliate Account page for more information. Allow five (5) working days for processing. 

Organizational - Club, Department, Unit, or Service Account

Organizational accounts are created upon request. See Request an Organizational Account or Request a Club Account for details. Organizational accounts do not expire. The Administrative or Technical contact can request a password reset by calling the ITS Service Desk at 805-756-7000.

Account extension

In special cases, an account extension may be necessary. For example, current students in the process of completing their senior project or thesis can request an account extension, as well as, students who just graduated if they are working for a Cal Poly department. An extension won't be granted if the user is not a student, is requesting an extension for work, or doing summer research. Affiliate accounts are valid for 1 year or earlier at the request of the sponsor. Affiliate accounts require annual renewal if necessary.
