Cancel an HR Administration or AP Dashboards Common Management Systems (PeopleSoft) security permissions account request. For questions regarding permissions, contact Peoplesoft (CMS) Permissions Support Contacts.
Submit a Request
Log in to the My Cal Poly Portal > My Apps > HR Administration.
Go to the Main Menu > Cal Poly Reports/Interfaces > Cal Poly Security > Security Workflow > Start Here - Security Requests.
Click the Request Permissions button.
Begin your request from the Instructions tab by filling in the following fields.
Request form definitions
Security recipient - Enter the user's Cal Poly username (do not include @calpoly.edu).
Recipient job title - Working job title
Recipient position
Recipient department
Under Agreements, check the box to confirm the user has completed the Responsible Use Policy and Cal Poly Confidentiality-Security Information form.
Click any of the following tabs to request access to a functional module, then check the box next to the role name the user needs. Roles can be requested from each of the functional module tabs.
Cal Poly Job
Human Resources/Academic Personnel
Labor Cost Distribution
Payroll
Department Security
If the recipient requires department security access, specify those departments on the Department Security tab.
The magnifying glass button can be used to search for a specific department if the department ID is not known.
The sub-departments link only shows one level in the tree. There may be additional sub-departments below the first level.
Use the +/- buttons at the end of the row to adjust the department security list as needed.
For each department in the list, specify whether the Access Code should be Read/Write, or No Access. Read/Write will allow access to a department as well as all of its sub-departments. If there is a department or sub-department that a user should not have access to, that can be added with the Access Code set to No Access.
Click the Confirm tab and enter a justification for the security request. Then click Submit for Approval.
View a Request
Log in to the My Cal Poly Portal > My Apps > HR Administration.
Go to the Main Menu > Cal Poly Reports/Interfaces > Cal Poly Security > Security Workflow > Start Here - Security Requests.
Click the Request Permissions History button.
From the Request Permissions History page, click the Search button to view your submitted request and its status.
Click on the Request ID to view detailed information about your request.
Cancel a Request
Log in to the My Cal Poly Portal > My Apps > HR Administration.
Go to the Main Menu > Cal Poly Reports/Interfaces > Cal Poly Security > Security Workflow > Start Here - Security Requests.
Click the Request Permissions History button.
From the Request Permissions History page, click the Search button to view your submitted request and its status.
Click on the Request ID to view detailed information about your request.
Click the Cancel Request button.
You will be prompted twice to confirm the cancellation by clicking the Yes button. This action cannot be undone, and approvals for all modules (if there are multiple) listed in the request status will be canceled.
The Request Status will now appear as terminated.
Submit a Remove Permissions Request
This will remove security from the specified user upon approval.
Log in to the My Cal Poly Portal > My Apps > HR Administration.
Go to the Main Menu > Cal Poly Reports/Interfaces > Cal Poly Security > Security Workflow > Start Here - Security Requests.
Click the Delete Permissions button.
In the Recipient field, enter the user's Cal Poly username (do not include @calpoly.edu). Then from the Details pane, select the permissions to be removed.
In the Comments Area enter a justification for the permissions removal. If the user needs department security removed, note that in the Comments Area as well. Then click Submit for Approval.
Submit a Remove Department Security Request
Log in to the My Cal Poly Portal > My Apps > HR Administration.
Go to the Main Menu > Cal Poly Reports/Interfaces > Cal Poly Security > Security Workflow > Start Here - Security Requests.
Click the Request Permissions button.
Begin your request from the Instructions tab by filling in the appropriate fields.
Security recipient - Enter the user's Cal Poly username (do not include @calpoly.edu).
Recipient job title - Working job title
Recipient position
Recipient department
Under Agreements, check the box to confirm the user has completed the Responsible Use Policy and Cal Poly Confidentiality-Security Information form.
Click on the Human Resources/Acad Personnel tab, then check the box next to the role name Other-Remove ALL deptid access.
Specify which department security should be removed by navigating to the Department Security tab. For each department or sub-department that a user should not have access to, set the Access Code to No Access (or make a note of department security to remove in the Comment section).
Click the Confirm tab and enter a justification for the security request. Then click Submit for Approval.
View a Remove Permissions Request
Log in to the My Cal Poly Portal > My Apps > HR Administration.
Go to the Main Menu > Cal Poly Reports/Interfaces > Cal Poly Security > Security Workflow > Start Here - Security Requests.
Click the Delete Permissions History button.
From the Delete Permission History page, click the Search button to view your submitted request and its status. Then click on the Request ID to view detailed information about your request.
