There are some security risks when conducting online classes and meetings. Unfortunately, zoom-bombing, the name given to gate-crashing Zoom meetings, has become more prevalent with a rise in trolling and the sharing of graphic content by
uninvited guests looking to disrupt meetings. In order to keep the Cal Poly community safe, we recommend taking the following steps to use Zoom securely. 

  1. Avoid hosting large meetings or public events using your Personal Meeting ID (PMI).
    - When scheduling a meeting, under Meeting ID, select Generate Automatically.

  2. Require a password to join your meeting when you schedule it.
    When scheduling a meeting, under Password, select Require meeting password.


  3. Disable “Join Before Host” especially if you are scheduling a meeting where sensitive information will be discussed.
    When scheduling a meeting, under Advanced Options, make sure Enable join before host is not selected.
    - Note: On March 31, 2020, Zoom turned on the Waiting Room feature by default for Education accounts. If the Waiting Room option is enabled, join before host will not work for that meeting.

  4. Only allow authenticated Cal Poly (calpoly.edu) users to  to join your meeting.
     When scheduling a meeting, under Advanced Options, make sure Only authenticated users can join > Cal Poly Only is selected.
    -  Note: On April 13, 2020, Zoom turned on the ability to restrict meetings to only Cal Poly (calpoly.edu) users.

  5. Lock your meeting. You can lock a Zoom meeting once it is started and all your expected participants have joined. This prevents any new participants from joining, even if they have the meeting ID and password (if you have required one).
    - In the meeting, click Security at the bottom of the Zoom window, then click Lock Meeting.


  6. Manage screen sharing by adding or removing participant access.
    - In the To change sharing settings in a meeting, at the bottom of the Zoom window next to Share Screen, click the caret. Select Advanced Sharing Options Who can share? > select All Participants or Only Host.
    - Note: On March 26, 2020, Zoom released an update for Education accounts, changing the Education account default sharing settingsettings are set to “Only Host” at the account level.

  7. Remove disruptive participants from your meeting.
    In the meeting, click Participants at the bottom of the Zoom window. In the Participants window, find the participant, next to their name click More, then click Remove.
