CSSE File Share Data Retention Schedule
The purpose of this article is to communicate data retention practices clearly to faculty, students, and Information Technology Services (ITS) stakeholders with regard to the Computer Science & Software Engineering (CSSE) file shares. Each year, the data storage usage for the CSSE file shares increases as new students and faculty make use of them. This policy establishes clear retention timelines to ensure sustainable storage management, compliance with campus standards, and the continued reliability of the service.
Policy
After students and faculty leave Cal Poly and their account is disabled or removed, we no longer provide access to this storage and delete the data. Due to the number of accounts involved, this process is automated.
The goals of this policy is to achieve:
Alignment with Cal Poly’s account expiration and de-provisioning practices for other services like Office 365, computer access, and software license services
Reduced storage overhead by removing inactive, orphaned, or stale accounts and data
Improve data recoverability by reducing overall data storage requirements
Alignment with campus data policies
