Storage Limit Changes for OneDrive and SharePoint
Due to a reduction in the amount of storage that Microsoft is offering to education customers, Cal Poly will be implementing new storage limits for OneDrive and SharePoint.
What Is Changing?
OneDrive:
OneDrive will be reduced to 500 GB for staff, faculty, and students.
Department accounts, guest users, and emeriti will remain at 100 GB.
No storage quota increases will be allowed for OneDrive.
What if More Storage is Required?
Users are advised to create a SharePoint site with a document library.
Please view this SharePoint – Quick Start guide.
SharePoint:
SharePoint sites will have a quota of 2 TB. Reasonable quota increases for SharePoint sites can be requested through an IT Support ticket.
OneDrive accounts and SharePoint sites that are over these quotas at the time of implementation will be given exceptions.
Their quotas will be adjusted to accommodate their current usage.
What Do I Need to Do?
No immediate action is required for most users, as the majority of individuals at Cal Poly do not consume enough storage to reach the new limits. However, as a best practice, we recommend regularly reviewing your files and removing any that are no longer needed.
Please reference this article on how to check your current storage usage.
What Happens If I Reach the Storage Limit?
If you exceed a storage limit:
You will receive a notification email.
For SharePoint, this will be sent to the site owners' email.
Your existing files will remain safe.
You will not be able to add or modify files until you free up space.
Contact the IT Service Desk if you need assistance.
How Can I Clean Up My Account or SharePoint Site?
Remove any personal files. These should be stored in your personal cloud or on local storage.
Regularly review and delete files that are no longer needed.
Set up folders with Retention Labels. These automatically delete files based on the timeframe you select.
