Faculty and staff also have access to SharePoint, Microsoft’s cloud storage and sharing app for teams. SharePoint document libraries enable collaboration by allowing teams and departments to seamlessly share and manage content. Both OneDrive and SharePoint allow multiple people to work on a document in real-time, providing automatic versioning and document history. OneDrive and SharePoint are approved for the storage of Cal Poly Level 1 data (with the exception of payment card data and protected health information). Level 1 data is not permitted to be shared outside of the university. Learn More.

While OneDrive and SharePoint both provide an online space to access files, their broader use is what separates them.

Sharepoint

OneDrive

Sharepoint has advanced features that allow for a fuller document management experience, as well as allowing for better sharing and design options.

OneDrive’s main function is to create an online backup of a person's files.

Sharepoint Sites aren't attached to a particular Office 365 account, and they will continue to exist even after the site creator or site owner's account is deleted.  A new site owner can be assigned by an Office 365 administrator if one was not assigned by the departing site owner.

OneDrive storage is associated with a particular Office 365 account. The files in OneDrive will be deleted when the account they belong to is deleted.
